POSITION SUMMARY

Join us at the forefront of digital transformation in higher education! In this pivotal role, you will plan and carry out system migrations for the Registrar's Office and then manage, maintain, upgrade, and adapt the system to meet evolving institutional needs. You’ll partner closely with Registrar staff, ITS, and campus stakeholders to enhance data quality, optimize workflows, and deliver accurate, timely information for students, faculty, and administrators.

You’ll translate academic and policy needs into system configurations, rules, and repeatable processes—de-customizing the existing Student Information System (SIS), migrating data and processes, supporting additional technologies in use, and implementing new software and systems. As a registrar-centric technical resource, you’ll bridge functional and technical teams—deeply embedded in the Registrar’s Office while connected to the ITS structure for data access, training, and collaboration on innovative technical solutions.

Key Responsibilities

  • SIS Configuration & Functional Ownership (35%) – Configure and maintain Registrar modules (terms, sections, registration rules, grading windows, degree audit requirements); document changes; manage test/use cases; coordinate with ITS for releases.
  • Process & Policy Translation (20%) – Assess Registrar processes; map current/future state; translate policy changes into system logic; design controls for compliance and audit readiness.
  • Reporting & Data Quality (20%) – Build and maintain operational and compliance reports (enrollment/NSC, census, degree progress, scheduling KPIs); monitor data integrity; propose data quality checks. Work with ITS to ensure effective data migration into Power BI and to build appropriate reports. Ensure compliance with data privacy laws.
  • Stakeholder Support & Training (15%) – Provide Tier-2 support; create job aids; deliver training to Registrar staff and partners (e.g., department schedulers).
  • Projects & Continuous Improvement (10%) – Lead/participate in small projects (new features, integrations) and contribute functional input to larger initiatives.

Requirements

  • Bachelor’s degree or equivalent experience.
  • Bachelor’s degree or equivalent experience.
  • Minimum 3 years in a functional analyst, business analyst, or Registrar operations role supporting an SIS or adjacent academic systems.
  • Experience translating policy/process into system configuration and documentation.
  • Working knowledge of relational data concepts; comfort with reporting tools (e.g., SQL-based, vendor reporting, or data warehouse outputs).

Preferred Qualifications

  • Depth of experience in Registrar operations such as degree audit, curriculum management, registration, or student records, including familiarity with academic policies, FERPA, and compliance reporting (e.g., NSC).
  • Five years of experience as a functional/business analyst or in Registrar operations supporting an SIS or related academic systems.
  • Demonstrated ability in requirements gathering, process mapping, release testing, change management, and clear documentation.
  • Strong analytical, data management, and reporting skills with a commitment to data quality and accuracy.
  • Effective communicator with experience developing and delivering user training; able to collaborate across departments and meet deadlines in high-volume periods.
  • Experience with Ellucian/Colleague SIS and related tools such as Acalog, Modern Campus, Power BI, and SQL; familiarity with API integration and database management.
