Description
POSITION SUMMARY
The Facilities Management Administrative Assistant provides support services for the Office of Facilities Management including answering telephones, greet visitors, and perform general data entry and clerical tasks. Monitor campus alarm system. Provide back-up support for transportation and key control. Workorder system management and dispatching to the appropriate trade or shop.
Key Responsibilities:
- Perform data entry tasks. Generate Work Orders. Route work orders to appropriate trades. Calculate student damages from work orders. Enter time and close work orders. File work orders.
- Serve as office receptionist. Answer multiple line telephone. Use two-way radio for communications and dispatching. Greet visitors. Maintain appearance of lobby.
- Create daily Utility list. Compile and process information for setups and deliveries. Communicate with other offices, especially Conference Operations, for their setup needs.
- Perform general clerical tasks. General copying and filing. Monitor campus-wide building alarm system. Monitor FM email account. Receive utility locates and notify trades.
